Request and book your team automatically
Use the Staffing Agent to check availability with your team and automatically fill positions for your events (for example shoot days or concerts). Instead of writing emails manually, you build a shortlist and let connactz send out the requests.
This way you can assemble your film crew or staff your band for a gig in minutes.
Please note: To use the Staffing Agent you need the Admin role on your project.
How the staffing process works
The booking process has four steps:
1. Define the event and what you need You create an event in the calendar and define which positions (for example camera, drums) have to be filled.
2. Build a shortlist For each position you pick your preferred candidates. You can prioritize people (Priority 1, Priority 2) or mark them as "Must-have".
3. Choose a request mode You decide how the invitations are sent:
Smart Mode: Asks candidates one after another by priority. If Priority 1 declines, Priority 2 is invited automatically.
First Come First Serve: All candidates are invited at the same time. Whoever accepts first gets the job.
4. Track the status After you save the event, connactz sends out the emails. In the team overview you see the status in real time:
Requested: Invitation sent, no response yet.
Accepted: The person has accepted. (With "Auto-Accept" on, the booking is now confirmed.)
Declined: The person has declined. In Smart Mode the next candidate is contacted automatically.
Frequently asked questions
Can people without a connactz account be invited? Yes. You can add anyone to the shortlist. They have to be added as team members in your project first, but they don't need to register with connactz to receive event invitations. Even without a connactz account the Staffing Agent can reach them — they get a link where they can accept or decline without having to sign up.
What happens if nobody accepts? If everyone on your shortlist declines or doesn't respond, you get a notification so you can step in manually and invite more people.
